Project Administrator

Job Summary

We are looking for an organized Project Administrator to who is eager to shape the world around them. This position will work closely with our team of Project Managers to make our unique and custom designed projects a reality. You will immediately make a lasting impact in our one-of a-kind projects.

This position provides procurement, logistics, and organizational assistance for the active projects at Uni-Systems Engineering. They provide administrative support to the functional areas of project management, with key responsibilities of obtaining quotes from vendors, writing and processing purchase orders, coordinating shipments, compiling and organizing documentation for inventory and quality control, and documenting project meetings. They work closely with Project Managers in the day-to-day execution of projects, and develop solid working relationships with project team members, vendors, and clients.

  • Seek best pricing and lead times from vendors for custom fabricated parts and catalog parts, process purchase orders, follow-up on orders to assure timely delivery, and seek input from technical personnel on the project team to provide answers to vendors when needed.
  • Process and coordinate shipments to and from vendors. Create and send bill of lading and other shipment documentation.
  • Process documentation for parts received.
  • Ensure that vendor certifications, test reports, and weld inspections are fulfilled by vendors.
  • Compile and organize vendor documentation for the project’s Build Book.
  • Compile and organize documentation for project design submittals.
  • Assist project managers in facilitating communication and completion of tasks; organize and deliver clear direction and feedback to team.
  • Make travel, lodging and car rental arrangements for team members as needed.
  • Maintain a Master Vendor Database with vendor capabilities to aid in new orders.
  • Assist in the continuous improvement of departmental processes and procedures
  • Proofread documents as requested by the project team.
  • Physical presence in the office is required.
  • Perform additional tasks as requested by management.

Job Requirements

Education

  • High School diploma is required
  • Associate’s degree is a plus <<<

Experience

  • Administrative experience related to procurement, shipping, or manufacturing is advantageous.

Skills and Abilities

  • Strong math and computer skills; advanced in Excel and Word.
  • Able to maintain confidentiality of sensitive information.
  • Strong problem-solving skills
  • Strong attention to detail, managing work that requires deadlines, ability to multi-task, handling interruptions and re-ordering critical tasks as the occur throughout the day
  • Results-oriented with ability to organize, plan, prioritize work to meet deadlines and thorough and detail-oriented when completing tasks.
